Onto the role


The Head of Workforce Planning will design, lead, and support the overall global workforce process. This position will play a crucial role in developing our workplace strategy by leading the efforts of overall workforce planning and allocation, staffing portfolio optimisation, and analysis of the future of skills. It is a hybrid role, focusing on establish the methodology, processes & workforce planning effectiveness measurements, across Foolproof and Zensar Studios - Experience Design & High Velocity Engineering.

Part of the role will be working with our Resourcing team and aligning and evolving all current practices under new Global Workforce Planning practice and scaling those into Zensar Studios.

Resourcing is the key to keeping our global practice teams moving and growing. The primary responsibility of the Resourcing function is to optimise the utilization of our delivery teams - ensuring that the right people are working on the right projects at the right time. This is in conjunction with ensuring our people are provided with the best experiences to enrich their careers.


  •  Lead the development and implementation of staffing plans in order to achieve strategic business initiatives.
  • Design, lead and support forecasting, capacity planning, scheduling, activity management attendance & adherence real-time management, and performance tracking & management of all Foolproof skills.
  • Lead the stakeholder management on a multinational level (Operations, Talent, People & Culture, Finance, Legal).
  •  Utilise workforce management various internal data sources to accurately forecast contacts – both short and long-term – and determine staffing requirements.
  • Analyse pipeline and proactively engage with Client Engagement and Project Management teams to understand proposed resource models, ensuring resource requirements are known and reporting on when they can be met.
  • Support the Talent team by leading workforce planning. You understand the business ecosystem, what skills are required to meet the latest demand and assess any skillset gaps to be obtained to meet the business objectives.
  • Support in headcount management and capacity planning, optimising the utilisation and chargeability of our delivery teams, providing information to leadership on utilisation levels, key areas of availability, business performance and forecasting to support business decisions.
  • Own and grow relationships with colleagues in Zensar for optimum resource strategies.
  • Work with Heads of Studio, Project Management and Client & New Biz practices to understand the development requirements across their teams and wherever possible align resourcing decisions to these needs.

 As a  manager and mentor

  • Line management of team members; setting and measuring their performance during appraisals and throughout the year.
  • Organise regular meetings with your direct reports to discuss and assess their work.
  • Take part in and host regular knowledge sharing sessions, mentor more junior members of the team and support the continuous development of the Workforce Planning Practice.
  • Share project stories with the wider business. 

Your experience

  • Proven workforce planning experience - ideally within an experience design or tech environment in a dynamic high-growth organisation.
  • Extensive experience in developing and evolving successful workforce programs and/or flexible workforce management.
  • Leadership experience managing and developing individuals or / and team.
  • Experience designing resource scheduling, workforce planning, or other operational / fulfilment logistics capabilities and workflows.
  • Advanced experience synthesizing data analytics and/or quantitative models into specific and actionable business recommendations.
  • State-of-the-art quantitative analysis and numerical interpretation skills 
  • Proficient with analytical platforms and enterprise-level work management platforms, i.e. WorkFront, Anaplan, Tableau, Domo
  • Advanced Microsoft Excel skills (e.g. Macros, VLOOKUP, Pivot Tables, Sum Ifs) and ability to create and work in complex data models; experience building reports and analytics dashboards. 
  • Commercial acumen – an understanding of wider business strategy is desired as well as communicating timely requirements to the Leadership Team.
  •  Organisational skills – personal efficiency; time management; ability to prioritize competing demands; a critical thinker who works well under pressure
  •  Integrity and ability not to shy away from reporting the difficulties we may be facing.
  • A trusted confidante on financials and business strategy; some exposure to talent management is beneficial.
  • Strong line management skills at all levels and an ability to foster and manage a team across locations and time zones.
  • Ability to deal with conflict between the business units and projects whilst remaining impartial and determining the best outcome for the business.
  • A strong solutions focus working in an environment which demands challenging deliverables.
